Maintain the HOA common areas and landscaped easement (utilities & landscaping). This was done in 2023. The goal is ongoing in 2024.
Conduct ongoing HOA business functions including: monthly board meetings; billing and collection of annual dues including lien process for non-payment; preparation of annual budget and both quarterly and year-end financial reports; annual filing with Secretary of State; and holding an annual membership meeting. In 2023, these things were done; no liens were filed; and the annual meeting was held in February. The goal is ongoing in 2024.
Review requests in a timely manner for new construction and exterior improvements submitted by HOA Members. In 2023, 9 request were received & approved: 4 for tree removal, 1 for exterior repainting,1 for replacing a fence, 2 for adding short new sections of fence, and 1 for adding a decorative lamp post in a front yard. The goal is ongoing in 2024.
Continue efforts to identify HOA Members willing to serve on the Board of Directors. Make mid-term appointments as appropriate. This goal is ongoing because vacancies on the Board can occur on short notice due to Board members moving out of Meadow Wood or other life changes. The goal is ongoing in 2024.
Keep in good repair our painted street markings, yellow curbs and reflectors. In 2023, none of this work was needed, however, at the Board's request, the City fully repaired a sidewalk trip hazard near the water pump station driveway. The yellow curbs were last repainted in 2022. The goal is ongoing in 2024.
Evaluate water usage and monitor as needed due to rising water costs. Every year, the landscaped areas are generally watered late Spring to Fall and the bills are reviewed monthly. Watering schedules are started and stopped seasonally and changed based on temperature, rain & the landscaper's recommendations. In 2023, one set of irrigation valves failed resulting in water leaks. The set was replaced because parts had been discontinued 15 years earlier. The goal is ongoing in 2024.
As needed, obtain an arborist's evaluation of trees in the common area for necessary trimming/removal and have the work completed. In 2023, all of the street trees in the 2 wetlands and the Cloverlawn Easement were cut back with the goal that by the end of July 2024, we won't have branches hanging low over sidewalks and streets . At the same time, 4 dead branches were removed from the Water Pump Station wetland. The goal is ongoing in 2024.
Review and update the Cash Reserves Policy as needed, but at least every 5 years. In 2023, the policy was reviewed and updated. The goal is ongoing as needed until due in 2028.
